SMELT CONFERENCE SERVICES - Where business paths meet.

Presentation

We offer high-quality conference services at the SMELT commercial building. The conference centre comprises a large conference hall and three smaller conference rooms. All the rooms are equipped with cutting edge technology. Our in-house technical team can provide the comprehensive and professional organisation of events at the client's request.
A large car park with 850 parking spaces is directly connected to the commercial building and has 24-hour access.

Conferences and lectures

A modern small-scale conference centre with equipment that meets the highest technical standards ensures the faultless performance of the most demanding business meetings and relaxing social events. Conference rooms vary in size, sharing a joint lobby with a capacity of up to 100 persons.
The entrance hall or large lobby of the conference hall is ideal for socialising during breaks, celebrations or for setting up a hot and cold buffet. It is also suitable for receptions, banquets and social gatherings serving cocktails; it is also an ideal place to organise exhibitions and other accompanying events.

Technical equipment

The conference centre, which includes conference rooms with daylight, is fitted with cutting edge and user friendly technical equipment.
The large hall and conference rooms provide:

  • a basic sound-system (speakers);
  • a projection screen;
  • an LCD projector;
  • a lectern with microphone;
  • a presidential table with microphones;
  • a LAN and WLAN internet connection;

additional options:

  • reception booths for hire;
  • the option of additional scenic lighting which can be connected to the existing electrical installation;
  • setting up of a podium (also large-scale if needed);
  • equipment for simultaneous interpreting, including booths for the interpreters.
Terms and conditions for th operation of the conference centre

Duration and scope of event

The duration of events is generally not restricted, given that a 24-hour reception and security service operates at the commercial building.
The scope of an event according to the audience expected (number of people): a lessee must take into account the capacity of the individual room during the preparation of the event. Such capacity cannot be exceeded.

Conference centre opening hours 

  • All-day lease: from 8 am to 11 pm.
  • Half-day lease: from 8 am to 11 pm.

Maximum number of hours: 6.

Working hours of the technical and conference staff

Regular working hours:

  • Morning: from 8 am to 3 pm.
  • Afternoon: from 3 pm to 11 pm.

Irregular working hours

  • Night shift after 11 pm.
  • Sundays and holidays.

DISCOUNTS

  • A:10% discount on the basic price - second day of lease in the same year (either within the scope of a multi-day event or as an independent event).
  • B:20% discount on the basic price - third day of the lease and every day of the lease thereafter in the same year (either within the scope of a multi-day event or as an independent event).
  • C: 10% discount on the basic price - joint lease of the hall and all conference rooms.

Note: The discount under item C is calculated on the final price, as determined according to any calculated discount under items A or B.

PAYMENT DESPITE CANCELLATION

  • 20 % of the price: five or more days inclusive before the event.
  • 50 % of the price: four, three, two days before the event.
  • 80 % of the price: one day before the event:

Complains

Complaints are accepted only in writing. The deadline for complaints is eight days from the rendered service.

Preparation and change to the hall layout

A preparation day is charged in the amount of a half-day's lease for an event that requires protracted technical preparations. The price for this preparation day includes a standby technician from the conference centre. In terms of the timetable, the preparation of the halls may take place during the regular working hours of the technical staff of the commercial building.

CHANGE TO THE HALL LAYOUT

The ordering of scenic and technical equipment must be approved at least seven days before the event. The last change to the seating plan in the hall (which must not exceed 20% of the number confirmed in advance) can be taken into account no later than two days before the event. Additional orders one day before the event or on the day of the event may only be taken into account within the available spatial capacities, charging a 50% premium per unit.

House rules in effect at the Smelt commercial building must be adhered to in the equipment used for the event. The placement of additional scenic elements that are required for the event is subject to the consent and presence of the technical staff of the commercial building administrator. The lessee shall be accountable for the leased technical equipment during the period of hall lease. In the event of damage or misappropriation, D. S. U., d.o.o. shall reserve the right to issue an invoice to the lessee in the amount of the cost of the required repair or replacement of the destroyed equipment. Similarly, the pasting of any items in the commercial building, its surroundings and halls is prohibited. D. S. U., d.o.o. shall reserve the right to charge costs for restitution to the original state in the event of any damage.

Catering Services

Restaurants Palača Smelt and Bistro Avia are available in the commercial building for catering services during events. Clients may approach conference staff to arrange catering services.

Event Insurance

The lessee must provide insurance for the event. The lessee shall provide for the carrying out of measures to ensure the occupational safety of all service providers and participants during the setting up and organisation of the event and provide insurance for these persons in the event of accident or injury. The lessee shall also be liable for damages in this regard. The lessee is also obliged to properly protect all their technical equipment that is required for the event.

Liability for damage

The lessee shall reimburse all the damage caused to the lease premises and areas, in other premises and devices of D. S. U., d.o.o. and to the functional land by the lessee or damage that incurred during the lessee's activity. D. S. U., d.o.o. shall repair the damage incurred. The lessee shall also be accountable for damage sustained by the visitors of the event.

Conference rooms

The SMELT commercial building has three smaller conference rooms of various sizes. All three are linked to a joint lobby with a capacity of 100 persons. All the conference rooms have natural light, with the possibility of regulating light to complete darkness. The seating and table layout cannot be changed.

SMELT Hall

Smelt Hall is suitable for all types of business events, in particular for the organisation of complex seminars and conferences, general meetings, socialising events and formal receptions. It boasts a large lobby which in addition to the organisation of the socialising part of events also enables the direct insertion of large exhibits or material.

Hall lobby

Suitable for welcoming guests with aromatic coffee, the registration of seminar and conference participants, handing out materials before an event or thereafter, active lunches (buffet), as a exhibition area accompanying the events held in the hall, for exhibitions or pleasant evening social events.

Entrance hall

The entrance hall or large lobby of the conference rooms is ideal for socialising during breaks, catering or for setting up a hot and cold buffet. It is also suitable for receptions, banquets and social gatherings serving cocktails; it is also an ideal place to organise exhibitions and other accompanying events.
